6 Tips for Hosting an Amazing Virtual Event

A virtual event may be less expensive and more accessible to a larger audience, but it still needs planning to be successful, just like a live event. Here are six suggestions for making your next virtual event the best yet.

  1. Recognize The Purpose Of Your Virtual Events

You want to fit the medium to your goal when preparing your virtual event. Choose a free virtual event platform not because it saves you money or because it is popular.

For example, if you want to get your remote team together for some face-to-face time, a virtual meetup, which can be done using a platform like Zoom, is a good option. Perhaps your purpose is to show off your new product or service to your target market. That aim necessitates a number of additional steps, including the creation of an event website, targeted PPC advertising, and email marketing activities.

2. Promote Your Virtual Event

Increasing the number of virtual attendees who show up and participate in your event will be easier if you use your existing marketing network.

A virtual event, like any other product or service your company has previously delivered, must be promoted to your target audience.

3. Provide Incentives For Attendees To Come To The Event

Don’t let the answer to why someone should attend your event be “because we’re amazing.”

Offering free swag (see below) or previewing the type of value-driven material that the event will address are two strategies to incentivize event attendance.

Use the event itself as an incentive if it’s a free event.

If you’re conducting a workshop for small businesses on how to set up their Google Analytics account, for example, the incentive will be the content you’ll cover during the event.

If there is a fee for attendance, we recommend that you create some materials that are specific to the event.

This may be as basic as distributing a PDF guide or e-book to participants when they register. You can also give a promo code or an extended free trial to all virtual event attendees if you’re using the event to sell a product or service.

4. Be Ready For Technical Difficulties

The Mayweather and McGregor Live Stream FAIL was one of the most well-known virtual event failures. The boxing match was hailed as one of the decade’s most important sporting events, but it didn’t proceed as planned. Attendees had signed up for the event, paid for it, and prepared for it, but when the big night arrived, the live broadcast was down owing to technical difficulties.

5. During The Event, Promote The Event

Before, during, and after the event, social media is your best friend.

You can encourage your participants to live-tweet the event by using hashtags on Twitter. Increasing engagement through live-tweeting is a terrific approach to do it. Plus, it’s free advertising because your event’s message reaches new people.

6. Collect Feedback From The Audience

Always keep an eye on the future.

Follow up with each participant to help you plan your next event and decide if this virtual event or the event platform you choose worked for your audience.

This can be as simple as sending an email a day or two after the event, but don’t wait too long because you want their input as soon as possible.
